Not everybody books appointments online and it’s totally fine. If somebody booked appointment with you in a different channel (e.g. phone, instant messaging, email, etc.) you can add these appointments to your Minup calendar, so other guests cannot book over it.
ℹ️ You can also add “Breaks / other activities” for shorter periods of time and “Holidays” for longer periods of time when you are unavailable.
⚠️ For "Booked appointments," make sure to include your client's email address. This ensures that they receive confirmation emails and reminders.
⚠️ It’s not possible to have multiple events at the same time. If you get the error message that says “The selected time has already been taken. Please try another one!” it means that there are already some events in your calendar blocking the time slot where you want to save an event.
Step-by-step guide:
- Go to your Calendar.
- Click on the “Create” button in the upper right corner or just click on the place in your Calendar where you want to add the event.
- Select one from the following event types
- Booked appointment = An event that has already been booked by somebody.
- Break / other activity = An event when you’re unavailable for a shorter period of time.
- Holiday = An event when you’re unavailable for a longer period of time.
“Booked appointment”
Once you selected “Booked appointment”, you can fill out the information in the event editor.
- Name the event. You can select from your existing services or add a custom name. (Required)
- Add the date and time of the event. (Required)
- Optionally, you can use the “All day” toggle button, you can make the event all day long.
- Optionally, you can add a “Price” for the event. This price will be visible in the confirmation and reminder emails.
- Optionally, you can add a “Break after” the event, so that you’ll have some time between appointments.
- Optionally, you can use the “Repeat” toggle for recurring appointments. This feature is particularly useful if you have regular clients who have fixed recurring appointments with you.

Repetition frequency = You can specify how often the booked appointment should repeat. If you select the "Custom" option from the dropdown menu, you can also set how many days or weeks apart the appointment should recur.

Repeat until = The date when the repetition ends.

- Add the name of your client
- Add the email address of your client. For "Booked appointments," make sure to include your client's email address. This ensures that confirmation emails and reminders are sent directly to them.
- Optionally, you can add your client’s phone number
- Optionally, you can add different notes to the event
- Note to client = This message will be sent to your client as part of the confirmation email.
- Note to self = These notes are only visible to you. Your client can’t see them.
- Once you’re done editing, click on the “Save” button in the bottom right corner. (Required)
“Group service occurence”
You can directly add an occurence from your Minup calendar to a group event. After selecting the "Group ervice occurence" option, fill out the following information in the event editor:
- Choose one of your existing group services. (Required)
- Optionally, you can specify the price of the session. This price will appear in the confirmation and reminder emails. If you don’t want to display a price, you can leave a note instead in the “Price note” field, e.g., Free.
- Add the date and time of the occurence. (Required)
- Specify the maximum number of participants in the “Max. number of participants” field.
- If you'd like to add a participant to the event, click on the “Participants” button. (Optional)
- In the grey participant field, you can edit the following information:
- Name
- Phone number
- Number of reserved spots
- If your guest would like to attend at this same time regularly, check the “Regular participant” box.
- When you’re done editing, click the “Save” button in the bottom right corner. (Required)
“Break / other activity”
Once you selected “Break / other activity”, you can fill out the information in the event editor.
- Give it a title (Required)
- Add the date and time of the event. (Required)
- Optionally, you can use the “All day” toggle button, you can make the event all day long.
- Optionally, you can use the “Repeat” toggle for recurring events.

"Holiday"
- Add a title for the event (Required)
- Select the start date (Required)

If you're taking multiple days off, click the "Repeat" toggle.

In the "Repeat frequency" field, keep the "Daily" option selected if you'll be on holiday for consecutive days.

In the "Repeat until" field, specify the date until you'll be on holiday.
- Once you're done editing, click the "Save" button in the bottom right corner (Required)
- Go to Settings > Working hours.
- In the Date overrides section, click "Add date override".
- Enter the first day of your time off.
- In the Working day dropdown menu, select No.
- You need to repeat these steps for each day you’ll be on time off.
"Google event"
If you’ve turned on Two-way Google Calendar sync, the events from your Google Calendar will show up in your Minup Calendar. You can edit these events in your Google Calendar.
- Click on the event you’d like to edit.
- Click on the “Edit” button. It will directly open the event in your Google Calendar.
